Overview
A well-known and prestigious charitable organisation based in Kingston are looking for an experienced PA to provide support to the CEO.
Salary: circa £30,000
The Role
- To act as the initial point of contact for the Chief Executive Officer (CEO) in his absence, assessing priorities and re-directing calls, enquiries and requests as necessary.
- To ensure that the CEO’s time is utilised efficiently and effectively and is as organised as possible
- To coordinate events, activities and travel for the CEO as required
- To compose, copy and edit as appropriate various emails, letters, documents and reports
- To liaise with Executive Team members and gather identified reports ready for consideration by the CEO
- To undertake research, draft and prepare briefings and letters, as appropriate, and sign and dispatch some in absence of the CEO
- To coordinate the regular CEO communications to staff and Board members and Committee members
- To manage diaries, venues and refreshments for meetings attended by the CEO, including Board and other Governance meetings
- To receive, screen and welcome visitors for the CEO
- To screen multiple requests for meetings with the CEO and use sound judgement in managing priorities of requests based on urgency and importance
- Solve simple IT problems and contact the IT department when necessary for all Corporate Office staff
- To be a gatekeeper, in order to alleviate CEO from dealing with all minor and non-urgent queries
- Manage the CEO’s contact between members of public and staff as appropriate
- To ensure that the CEO’s messages and requests are conveyed appropriately as and when required, and chased when necessary
- To organise and minute the meetings of the Executive Team and other meetings as required
- Act for the Chief Executive in ensuring tasks and follow-up actions with team members are completed where agreed
- Maintain a strong working relationship with other relevant departments, including IT, HR, and Marketing
- To liaise with internal staff and external clients, business associates, council members and other regulatory leaders
- To undertake meeting arrangements and other task for the group Finance Director as required
Key Skills/Experience
- Proven experience in a senior administrative/EA/PA position
- Previous experience working with Director or Board level employees
- Highly discreet and able to manage sensitive, confidential information in the appropriate manner
- Exceptional organisational skills with the ability to manage multiple different tasks simultaneously
- Strong communication and interpersonal skills
- Some knowledge of/experience in the financial sector would be a major advantage but is not an essential requirement
- A positive and friendly working manner
