We are looking for an accomplished EA to provide complex administrative support to the Lettings Director at a successful chain of estate agents.

Salary: £30,000 – £40,000 DOE

The Role

  • Administration – diary management, call handling and complex travel itineraries
  • Assist with set-up of new offices
  • Health and safety
  • Minute takings
  • Planning and maintaining office systems, including data management and filing
  • Maintaining the condition of the office and arranging for necessary repairs
  • Stationery ordering
  • Arranging meetings
  • Deal with recruitment, drafting contracts, sending out new starter documents
  • Ensuring adequate staff levels to cover for absences and peaks in workload
  • Full understanding of Microsoft Office – Outlook, Word, Mail merge, PowerPoint, Excel.   Excel spreadsheets used daily –  ensure all are updated (some each day, some each week, some every two weeks, some once a month)
  • Preparing quarterly packs for 1:1 meetings
  • Administer holiday system and mobile phones for the company
  • Saturday – check branches on who is working when required

Key Skills/Experience

  • Be able to work in a fast paced environment – always busy so prioritising key to cope.
  • Ability to multi task
  • High attention to detail – check letting deals, fees, targets
  • Accurate & fast typing speed
  • Customer and supplier liaison skills
  • Good maths required as calculating monthly, quarterly, yearly figures for offices
  • Excellent grammar and English essential as will be drafting letters/replies
  • Graduate preferred
