Salary:  £18,000

Location: Twickenham

The Role

To provide a high standard of administrative support to the Operations Teams and Senior Management Team and to deliver an excellent front of house service in person and over the telephone to both customers.


  • Provide a welcoming and professional front of house service
  • Deliver efficient and accurate administration services to other departments as directed
  • Service meetings and administer room booking procedure, ensuring customer needs are met
  • Administer visitor reporting system to ensure accurate visitor records are kept and security procedures adhered to
  • Effectively manage the receipt and dispatch of mail and goods deliveries
  • Develop and sustain effective stationery control measures
  • Maintain a professional work environment
  • Service the office facilities to ensure both internal and external customer needs are met
  • Plan, prioritise and communicate own work schedule to ensure effective and efficient services are delivered
  • Provide cover/support to colleagues within the Administration Team when requested
  • Ensure healthy and safe working practices are maintained at all times

Other duties include:

  • Undertake housekeeping duties to ensure stock replenishment, room servicing
  • Ensure all work areas are presentable and the appearance of the reception, kitchen area, office and meeting rooms are clean and tidy and portray a professional image at all times
  • Provide refreshments for visitors and Senior Management Team as required
  • Maintain room booking systems in order to effectively plan for meetings/events and liaise with the meeting contact to ensure all requests are prepared effectively, this will include creating attendance registers, invitation letters, programme materials and provision of lunch and refreshments
  • Manage delivery and receipt of goods, to be either distributed to staff or stored safely in appropriate storage location being mindful of potential threats to health, safety and security
  • Answer the main switchboard professionally and relay calls and messages to appropriate members of staff inline with procedure
  • Meet and greet all visitors courteously and professionally utilising inventory and notifying hosts of visitor arrival
  • Timely processing of incoming and outgoing mail, including special deliveries inline with procedures
  • Word process letters, reports, mail merges, minutes of meetings and other documents as directed
  • Maintain digitalised and or paper based filing systems as directed and inline with procedures
