Overview
A prestigious not-for-profit organisation based in Farringdon are looking for an exceptional administrator to join the team in a role which may progress into an Office Manager.
Salary: £24,000 – £26,000
The Role
- Acting as Assistant to the CEO; Directors of the Society and Senior Officers
- Preparation of briefing papers for internal and external meetings, minute taking and manage the follow-up process for any associated actions
- Providing team assistance to the wider team as required
- Ensuring that telephone/reception cover is provided in a professional and timely manner, including taking and responding to messages, and directing and welcoming with visitors to the office
- Answering general enquiries to the Society
- Answering telephones, including when colleagues are on annual leave and for visitors at the main gate and front door
- Meet and greet visitors to the office
- Ensure that stationery and office supplies are ordered
- Frank mail and distribute incoming mail and deliveries to office staff
- Make sure that the key-holders list is up to date and there is a record of who has keys at all times
- Order catering for meetings as required
- Set-up of meeting rooms including testing of AV connections and providing refreshments for attendees
- Follow up with service providers as directed by the Office Manager
- Some finance support including expenses, supplier invoices, accounts queries etc.
Key Skills/Experience
- A degree in business studies, arts or science related discipline would be a major advantage
- Experience of providing diary and administration assistance
- Experience of processing invoices and expense claims
- Assisting with office facility duties
- Previous experience of working in a charity/learned society or public sector body
- Good attention to detail and an ability to anticipate potential administrative or other problems
- Ability to meet deadlines under pressure and to prioritise workload
- Self-motivated with the ability to use initiative and judgement. Willingness to take full responsibility and be accountable for areas under post-holder’s remit
- Personable, friendly and approachable also with good interpersonal skills
