Overview

Our Central London based client works within the property industry and is looking to recruit an Office Assistant/Administrator. The core role is to provide an efficient and professional service to the building and its users as well as providing additional administrative support to the legal team. Duties will include a range of daily administrative and operational tasks as well as continual liaison with clients, tenants and the legal team.

The Person

Excellent communication skills, excellent written skills, effective time management, the ability to multi task, effective problem solving, a calm demeanour combined with a “can do “
attitude, the ability to problem solve, attention to detail and flexibility. Tenant liaison will require diplomacy and a professional demeanour.

The Role
Reception

  • To provide Reception cover for the building and the legal team. Duties will include welcoming guests, answering telephone calls, taking messages and documenting
    relevant points.
  • To manage client and guest bookings for the business. This will include being the point of contact and liaison between guests / clients and staff as well as coordinating
    meetings and events
  • To be the point of contact for all contractors attending the offices; builders, maintenance and gardeners. To coordinate appointments in liaison with the Managers.
  • To be responsible for coordinating deliveries and post for the legal team.
  • To manage the office diary for the legal team ensuring that it is kept up to date and accurate.

Health & Safety Compliance

  • To be the nominated Health & Safety Compliance Officer for the building. Duties will include fire, health and general wellbeing for the team, tenants and building.
  • To provide weekly and monthly reports on all aspects of health & safety to the Managing Partner.
  • To coordinate regular training, updates and guidance to the team.
  • To be responsible for the maintenance of first aid boxes.
  • To coordinate and maintain the security arrangements for the building in consultation with the owners

Tenant Liaison

  • To be the point of contact for all tenants. Duties will include hosting monthly tenant meetings, maintain minutes of meetings and providing written updates / news sheets for building users.
  • To work with the Management Team to provide an efficient and effective service to tenants.

External Events

  • To be responsible for coordinating external bookings acting as the first point of contact
  • To liaise with the cleaner and accounts team to ensure that external events are effectively managed and coordinated
  • To provide a weekly and monthly update to the Management Team on all events
  • To manage orders and deliveries as required for events

Administrative Duties (Legal Team)

  • To assist with bundling and general administrative support for the legal team as / when duties allow
  • To manage the legal diary on behalf of the team
  • To constantly liaise with the Executive Assistants to ensure that all work is coordinated and executed effectively on behalf of the Managers / Owners.
