Overview
One of the UK’s most successful creative and digital agencies based in Kingston are looking for someone to provide support to the CEO as well as managing the day-to-day running of the office.
Salary: £32,000
The Role
PA to CEO
- Keeping two steps ahead of the CEO, anticipating her needs for the day ahead (printing documents, preparing agendas as and when needed)
- Extensive diary management, organising meetings
- Booking international travel
- Expenses
- Organising internal events alongside CEO (social events, HR training etc.)
Office Management
- Keeping the office clean and tidy, liaising with the cleaner and organising the recycling
- Keeping the kitchen stocked with essentials (tea/coffee/milk etc.)
- Liaising with property management to report any issues with the building
- On-boarding new starters and preparing contracts of employment
- Organising and preparing the office for internal workshop
- Organising internal office desk moves
- Ordering new computers/software
- Liaising with external contractors and organising works as and when needed
- Answering the telephone, directing the calls to the relevant person in the office
- Greeting external guests and making them feel welcome
- Preparing refreshments for client and internal meetings
- Keeping up to date with H&S regulations (e.g. making sure our equipment is PAT tested yearly)
Requirements
- You need to be proactive, always two steps ahead of the CEO
- You need to be fast, accurate and calm under pressure
- A good knowledge of MS Office programs is desired as well as the G Suite (Gmail, Docs, Sheets)
- Minimum 2 years’ experience as personal assistant / executive assistant
- Excellent written and verbal communication skills
- A highly positive and ‘can do’ attitude with a proactive approach to all work
