A hugely successful creative agency based in Windsor are looking for an experirenced PA/Receptionist to join their rapidly growing team.
Salary: £28,000 – £32,000
The Role
- To consistently manage and organise the MD’s diary and to help ensure that day-to-day meetings and whereabouts is clearly known and communicated with both the company and clients and ensuring meeting times are checked and confirmed and managed at all times
- To oversee and monitor the MD’s emails and action any urgent correspondence immediately by flagging to the MD or yourself managing accordingly.
- To help organise “life” so the MD knows where they need to be at what time and what they are doing.
- To communicate information from and regarding meetings to the Account Management team and Heads of Departments within the business
- To give daily support in all administration duties to include typing of contact reports, memo’s, logging of MD’s time on projects, printing, note taking etc.
- Making and organising travel arrangements from meetings to overseas travel & flight bookings and the MD’s driver.
- Personal errands for MD and OD as and when required
- Organising and attending meetings (when required) and ensuring the manager is well prepared for meetings
- Taking and disseminating minutes for monthly management meeting and any other ad hoc meetings as required
- Support in organising all company social events with OD and OD’s PA
- To assist with new starters and leavers within the company in place of OD PA
- To help manage client’s expectations, such as asset requests and to continually strive to ensure clients are “managed and looked after” within the company.
- Ensuring all paperwork and such items that are required for meetings are with the MD timeously.
- To help communicate project information (from the Directors) to the Account Management team
- Sourcing items and/or suppliers for special projects
- Managing the MD’s daily timesheets and ensuring time is logged to the project each day
- Manage the MDs expenses and mileage and report accordingly.
- Be prepared to provide support and possibly attend external conferences and events as and when required
- Management, preparation and maintenance of purchases both by invoice and the company credit card of items purchased by the Directors

- Strong IT skills including knowledge of google calendars, word, excel, Outlook & a competence in using the internet
